Best Practices in Translation Technology - summer school in Lisbon (July 2019)

Once again this year, I'll be team teaching a course with David Hardisty and Marco Neves (in English, open to all, with enrollment limited) at Universidade Nova de Lisboa (the New University in Lisbon, Portugal) on topics for best practice applying technology for more efficient and effective translation processes.

This year's topics include:

– Using glossaries, bilingual texts and other references in multiplatform environments. 
– Good practices for using terminology and reference texts in the target language.

There are some unannounced extras, but those will remain secret for now :-) And as time permits, individual challenges of course participants can also be addressed by the experts leading the course.

This is about as good as it gets for training costs; the university tuition is ridiculously low, and the 25 hours of instruction during the week of 15 to 20 July cost less than most half-day workshops while delivering far more. If it were up to me, I would probably increase the cost ten-fold, but that's because I'm a practical business person who understands commercial value, not a university administrator :-)

The course requires a basic knowledge of memoQ in advance, but much of the material goes well beyond that CAT tool. As always, integrated work with other environments, such as SDL Trados Studio and Wordfast is taught and emphasized.

The other sides of Iceni in Translation


The integration of the online TransPDF service from Iceni in memoQ 8.1 has raised the profile of an interesting company whose product, the Infix PDF Editorhas been reviewed before on this blog. TransPDF is a free service which extracts text content from PDF files, converts it to XLIFF for translation in common translation environments, and then re-integrates the target text from the translated XLIFF to create a PDF file in the target language.

This is a nice thing, though its applicability to my personal work is rather limited, as not many of my clients would be enthusiastic if I were to send PDF files as my translation results. Sometimes that fits, sometimes not. And of course, some have raised the question of whether using this online service is compatible with some non-disclosure restrictions.

I think it's a good thing that Kilgray has provided this integration, and I hope others follow suit, but for the cases where TransPDF doesn't meet the requirements of the job, it is useful to remember Iceni's other options for preparing text for translation.

Translatable XML or marked-up text export
As long as I can remember, the Infix PDF Editor has offered the option to export text on your local computer (avoiding potential non-disclosure agreement violations) so that it can be translated and then re-imported later to make a PDF in the target language. Only the location of this option in the menus has changed: the menu choices for the current version 7 are shown below.



This solution suffers from the same problem as the TransPDF service: not everyone will be happy with the translation in PDF, as this complicates editing a little. However, I find the XML extract very useful to put the content of PDF files into a LiveDocs corpus for reference or term extraction. The fact that Infix also ignores password protection on PDFs is also helpful sometimes.

"Article" export
The Article Tool of  the Iceni Infix PDF Editor enables various text blocks on different pages of a PDF file to be marked, linked and extracted in various translatable formats such as RTF or HTML. The quality of the results varies according to the format.


Once "articles" are defined, they are exported via the command in the File menu:

However, the Simple HTML export opened in Microsoft Word shows no such troubles (and can be saved in RTF, DOCX or other formats):


Use of the article export feature requires a license for the Infix PDF editor, unlike the XML or marked-up text exports for translation. In demo mode, random characters are replaced by an "X" so that one can see how the function works but not receive any unjust enrichment from it. However, this feature has significant value for the work of translators and is well worth an investment, as the results are typically better than using OCR software on a "live" (text-accessible) PDF file.

I tested it briefly on some scanned Portuguese Help Wanted ads that I'll probably use for a corpus linguistics lesson this summer; the results didn't look too awful all considered. This feature is worth a closer look as time permits, though it is unlikely to replace ABBYY FineReader as my tool of choice for "dead" PDFs.

Technology for Legal Translation

Last April I was a guest at the Buenos Aires University Facultad de Derecho, where I had an opportunity to meet students and staff from the law school's integrated degree program for certified public translators and to speak about my use of various technologies to assist my work in legal translation. This post is based loosely on that presentation and a subsequent workshop at the Universidade de Évora.

Useful ideas seldom develop in isolation, and to the extent that I can claim good practice in the use of assistive technologies for my translation work in legal and other domains it is largely the product of my interactions with many colleagues over the past seventeen years of commercial translation activity. These fine people have served as mentors, giving me my first exposure to the concepts of platform interoperability for translation tools, and as inspirations by sharing the many challenges they face in their work and clearly articulating the desired outcomes they hoped to achieve as professionals. They have also generously and frequently shared with me the solutions that they have found and have often unselfishly shared their ideas on how and why we should do better in our daily practice. And I am grateful that I can continue to learn with them, work better, and help others to do so as well.

A variety of tools for information management and transformation can benefit the work of a legal translator in areas which include but are not limited to:
  • corpus utilization,
  • text conversion,
  • terminology management,
  • diverse information retrieval,
  • assisted drafting,
  • dictated speech to text,
  • quality assurance,
  • version control and comparison, and
  • source and target text review.
Though not exhaustive, the list above can provide a fairly comprehensive basis for education of future colleagues and continued professional development for those already active as legal translators. But with any of the technologies discussed below, it is important to remember that the driving force is not the hardware and software we use in technical devices but rather the human mind and its understanding of subject matter and the needs of the particular task or work process in the legal domain. No matter how great our experience, there is always something more and useful to be learned, and often the best way to do this is to discuss the challenges of technology and workflow with others and keep an open mind for new approaches with promise.


Reference texts of many kinds are important in legal translation work (and in other types of translation too, of course). These may be monolingual or multilingual texts, and they provide a wealth of information on subject matter, terminology and typical usage in particular contexts. These collections of text – or corpora – are most useful when the information found in them can be read in context rather than isolation. Translation memories – used by many in our work – are also corpora of a kind, but they are seriously flawed in their usual implementations, because only short segments of text are displayed in a bilingual format, and the meaning and context of these retrieved snippets are too often obscure.

The best corpus tools for translation work allow concordance searches in multiple selected corpora and provide access to the full context of the information found. Currently, the best example of integrated document context with information searches in a translation environment tool is found in the LiveDocs module of Kilgray's memoQ.

A memoQ LiveDocs corpus has all the advantages of the familiar "translation memory" but can include other information, such as previews of the translated work as well. It is always clear in which document the information "hit" was found, and corpora can also include any number of monolingual documents in source and target languages, something which is not possible with a traditional translation memory.

In many cases, however, much context can be restored to a traditional translation memory by transforming it into a "document" in a LiveDocs corpus. This is because in most cases, substantial portions of the translation memory will have its individual segment records stored in document order; if the content is exported as a TMX file or tab-delimited text file and then imported as a bilingual document in a LiveDocs corpus, the result will be almost as if the original translations had been aligned and saved, and from a concordance hit one can open the bilingual content directly and read the parts before and after the text found in the concordance search.


Legal translation can involve text conversion in a broad sense in many ways. Legal translators must often deal with hardcopy or faxed material or scanned files created from these. Often documents to translate and reference documents are provided in portable document format (PDF), in which finding and editing information can be difficult. Using special software, these texts can be converted into documents which can be edited, and portions can be copied, pasted and overwritten easily, or they can be imported in translation assistance platforms such as SDL Trados Studio, Wordfast or memoQ. (Some of these environments include integrated facilities for converting PDF texts, but the results are seldom as suitable for work as PDF or scanned files converted with optical character recognition software such as ABBYY FineReader or OmniPage.)


Software tools like ABBYY FineReader can also convert "dead" scanned text images into searchable documents. This will even work with bad contrast or color images in the background, making it easier, for example, to look for information in mountains of scanned documents used in legal discovery. Text-on-image files like the example shown above completely preserve the layout and image context of the text to be read in the best way. I first discovered and used this option while writing a report for a client in which I had to reference sections of a very long, scanned policy document from the European Parliament. It was driving me crazy to page through the scanned document to find information I wanted to cite but where I had failed to make notes during my first reading. Converting that scanned policy to a searchable PDF made it easy to find what I needed in seconds and accurately cite its page number, etc. Where there is text on pictures, difficult contrast and other features this is often far better for reference purposes than converting to an MS Word document, for example, where the layouts are likely to become garbled.


Software tools for translation can also make text in many other original formats accessible to translators in an ergonomically simpler form, also ensuring, where necessary, that no text is overlooked because of a complicated layout or because it is in an easily overlooked footnote or margin note. Text import filters in translation environments make it easy to read and translate the words in a uniform working environment, with many reference tools and other help available, and then render the translated text back into its original format or some more useful bilingual format.

Technology also offers many possibilities for identifying, recording and controlling relevant terminology in legal translation work.


Large quantities of text can be analyzed quickly to find the most frequent special vocabulary likely to be relevant to the translation work and save these in project glossaries, often enabling that work to be organized better with much of the clarification of terms taking place prior to translation.  This is particularly valuable in large projects where it may be advisable to ensure that a team of translators all use the same terms in the target language to avoid possible confusion and misunderstanding.

Glossaries created in translation assistance tools can provide terminology hints during work and even save keystrokes when linked to predictive, "intelligent" writing features.


Integrated quality checking features in translation environments enable possible deviations of terminology or other issues to be identified and corrected quickly.


Technical features in working software for translation allow not only desirable terms to be identified and elaborated; they also enable undesired terms to be recorded and avoided. Barred terms can be marked as such while translating or automatically identified in a quality check.

Technical tools enable terminology to be shared in many different ways. Glossaries in appropriate formats can be moved easily between different environments to share them with others on a team which uses diverse technologies; they can also be output as spreadsheets, web pages or even formatted dictionaries (as shown in the example above). This can help to ensure consistency over time in the terms used by translators and attorneys involved in a particular case.

There are also many different ways that terminology can be shared dynamically in a team. Various terminology servers available usually suffer from being restricted to particular platforms, but freely available tools like Google Sheets coupled with web look-up interfaces and linked spreadsheets customized for importing into particular environments can be set up quickly and easily, with access restricted to a selected team.


The links in the screenshot above show a simple example using some data from SAP. There is a master spreadsheet where the data is maintained and several "slavesheets" designed for simple importing into particular translation environment tools. Forms can also be used for simplified data entry and maintenance.


If Google Sheets do not meet the confidentiality requirements of a particular situation, similar solutions can be designed using intranets, extranets, VPNs, etc.


Technical tools for translators can help to locate information in a great variety of environments and media in ways that usually integrate smoothly with their workflow. Some available tools enable glossaries and bilingual corpora to be accessed in any application, including word processors, presentation software and web pages.


Corpus information in translation memories, memoQ LiveDocs or external sources can be looked up automatically or in concordance searches based on whole or partial content matches or specified search terms, and then useful parts can be inserted into the target text to assist translation. In some cases, differences between a current source text and archived information is highlighted to assist in identifying and incorporating changes.


Structured information such as dates, currency expressions, legal citations and bibliographical references can also be prepared for simple keystroke insertion in the translated text or automated quality checking. This can save many frustrating hours of typing and copy revision. In this regard, memoQ currently offers the best options for translation with its "auto-translation" rulesets, but many tools offer rules-based QA facilities for checking structured information.


Voice recognition technologies offer ergonomically superior options for transcription in many languages and can often enable heavy translation workloads with short deadlines to be handled with greater ease, maintaining or even improving text quality. Experienced translators with good subject matter knowledge and voice recognition software skills can typically produce more finished text in a day than the best post-editing operations for machine pseudo-translation, with the exception that the text produced by human voice transcription is actually usable in most situations, while the "gloss" added to machine "translations" is at best lipstick on a pig.


Reviewing a text for errors is hard work, and a pressing deadline to file a brief doesn't make the job easier. Technical tools for translation enable tens of thousands of words of text to be scanned for particular errors in seconds or minutes, ensuring that dates and references are correct and consistent, that correct terminology has been used, et cetera.

The best tools even offer sophisticated tools for tracking changes, differences in source and target text versions, even historical revisions to a translation at the sentence level. And tools like SDL Trados Studio or memoQ enable a translation and its reference corpora to be updated quickly and easily by importing a modified (monolingual) target text.

When time is short and new versions of a source text may follow in quick succession, technology offers possibilities to identify differences quickly, automatically process the parts which remain unchanged and keep everything on track and on schedule.


For all its myriad features, good translation technology cannot replace human knowledge of language and subject matter. Those claiming the contrary are either ignorant or often have a Trumpian disregard for the truth and common sense and are all too eager to relieve their victims of the burdens of excess cash without giving the expected value in exchange.

Technologies which do not assist translation experts to work more efficiently or with less stress in the wide range of challenges found in legal translation work are largely useless. This really does include machine pseudo-translation (MpT). The best “parts” of that swindle are essentially the corpus matching for translation memory archives and corpora found in CAT tools like memoQ or SDL Trados Studio, and what is added is often incorrect and dangerously liable to lead to errors and misinterpretations. There are also documented, damaging effects on one’s use of language when exposed to machine pseudo-translation for extended periods.

Legal translation professionals today can benefit in many ways from technology to work better and faster, but the basis for this remains what it was ten, twenty, forty or a hundred years ago: language skill and an understanding of the law and legal procedure. And a good, sound, well-rested mind.

A day in the life....


One of the things I enjoy most about professional translation is the range of activities and subject matters that one can encounter, even as a specialist in a few domains. I can't say the work is never boring, but when it does drift that way, very suddenly it isn't any more. Quite unpredictably.

Yesterday I typed translations. A bit more than expected after two sets of PowerPoint slides - a small one to translate from German and another to edit the rather acceptable English - turned out to have about 8,000 words of highly specialized slide notes about military command and control structures and the technology of fighting forest fires. (Note to self: no matter how busy you are, always import those presentations into memoQ with the options set to extract every kind of text as well as the bitmap graphics if you have to translate those too. Then do a word count! Appearances can be deceiving.)

Yesterday I dictated translations. The job started out as a bunch of text fragments from slides, where context über alles was the rule, lots of terminology required research, and voice recognition offered no particular advantages, then suddenly it became the translation of a rather long lecture using all that new terminology, and the deadline was tighter than thumbscrews operated by an angry ex-girlfriend. Dragon NaturallySpeaking to the rescue. Not only was this necessary to finish the text in a long workday rather than most of a week, but the more natural style of translation by dictation suited the purpose of the translated presentation particularly well. I could imagine myself in the room with equipment vendors, military commanders, firefighting specialists and freight forwarders, talking about the challenges faced and the technology required to avoid the tragedies of an out-of-control firestorm. And the words came out, transcribed from my voice directly into the target text fields of memoQ, exactly as they should be spoken to that audience. And at the end of that long day my hands still had feeling in them, which would not have been the case if I had typed even a third of the text.

Yesterday I made a specialized glossary to share with a presenter who will travel halfway around the world to lecture with the slides I translated for his talk. Long ago I discovered that the way I produce translations has the potential to provide additional benefits for those who will use my work. Sales representatives might need to write letters to their prospects, discussing their products in a language not mastered as a native, and the vocabulary from my work may help them to improve communication and avoid confusion that might result from using incorrect or simply different words to describe the same stuff. Or an attorney might need a quick overview of the language I used to translate the pleading she intends to file, to ensure that it is consistent with previous efforts and will not complicate discussions with her client. The terminology I research and record for each translation can be exported and reformatted quickly to produce glossaries or more complex dictionaries in a variety of formats suited for purpose. Little time and often a lot of benefits for my clients.

Yesterday I translated bitmap graphics and not only had to deal with the editing tools for that but also had to consider the best strategy for transforming the original German graphics into English ones. Would those charts be translated again into other languages? Would the graphics be re-used in other types of documents, so that I should consider ease of portability in my approach to the translation? And how the Hell do I actually use that new bitmap graphics transcription and substitution for Microsoft Office files which was added to memoQ some time ago and sort out the five charts to translate from the fifty to ignore? (Maybe I should blog the solutions some day.)

And yesterday I was asked to write summaries of large, badly scanned articles so that the equipment manufacturer would understand how its latest technology was discussed by German reviewers. As a kid I had a silly fantasy about getting paid to read, and this is just one of the many ways it unexpectedly came true. But before I get that far, these scanned files needed to be reworked so that they could be read and searched on the screen, so as I described in a guest post on another blog some years ago, I converted them to searchable PDF/A with ABBYY FineReader, which in this case also reduced their size by about 75%. The video below also shows how this works. Strangely, when I describe this procedure to other translators, many of them don't get it, and they go on about converting PDF files into editable MS Word files or plain text, or, God help them, something really stupid like importing PDF files directly into a CAT tool for translation, though none of this really relates to my purpose. Conversions often contain errors, and many texts are harder to interpret when the context of an accurate layout is lost. So "text-on-image" PDF files for translation reference to the original source files are often critical, and for files to summarize or consult sporadically for reference (with many pages to look at and essentially nothing to translate), a searchable PDF is the gold standard for efficient work.


In the course of that day I had to work with two computers linked by remote access using four networks at various time, working in German, English and Portuguese (the latter mostly involving questions to the housekeeper on how to do an online pizza delivery order so I could stay in the office and keep working). I used well over a dozen software applications for necessary tasks. These, and the environments in which they operate must be balanced carefully for efficient work. And even after some months in my new office, the balance isn't quite as good as I've had it before, and more attention to ergonomics is required.

Some colleagues are nostalgic for the "good old days" when they received a stack of paper to translate and sent off another stack of paper when the work was done, and they had a filing cabinet or a shelf of notebooks full of old work to use as reference material, and boxes of index cards stuffed full of scribbled notes on terminology next to seldom-dusty specialist dictionaries prepared by presumed experts, often full of marginalia commenting on errors or omissions and stuffed with papers bearing other scribbled notes. Not me. Since the day 30 years ago when I laboriously typed a text file full of file folder numbers and content descriptions for my research work and personal papers I have been a big believer in electronic retrieval of information wherever possible, and I miss retyping botched pages just as little as I miss the lines in the post office or the stress of dealing with delivery services.

I suspect that some feel a loss of control with the advent of new technologies in an old profession, and certainly the changes in the business environment for translation since the days of the typewriter often require a very different mentality to survive and thrive. What that mentality is, exactly, is a matter of healthy debate and often misunderstanding - again, because of the great diversity of the profession and the professions and unprofessionals in it.

The greatest challenges of new technologies that I find are the same as those faced in many other kinds of work and in modern life in general. Filtering the overabundance of input for the few things that are truly of use or interest and maintaining focus and calm amidst omnipresent distractions. Not relying too much on technologies that are far more fallible than most people, even experts, realize or acknowledge. And remembering that a fool with a tool, however many features and failsafes it may offer, remains a fool.

Cleaning up a crappy OCR job for translation

It's a sad fact in the professional work of translators that a lack of understanding on how to deal effectively with various PDF formats causes enormous loss of productivity and results which are not really fit for purpose. The aggressive insistence of many colleagues possessed of a dangerous Halbwissen on using half-baked methods and inappropriate tools contributes to the problem, but, bowing to the wisdom about arguing with fools, I now mostly sit back with a bemused and amused smile and watch the tribulations of those who believe in salvation by PDF import filters and cheap or free OCR. "TANSTAAFL" is a true as it ever was.

Just before the weekend I got an inquiry from an agency client I rather like. Nice people, good attitude, but struggling sometimes trying to find their way with technology despite some in-country "expert" training. This inquiry looked a bit like ripe fish at first glance. The smell got stronger after I was told that because the corporate end client had converted the PDF for their annual report and begun to edit the mess (and comment it heavily too) in the OCR file that this would be all there was to work with. It was a thoroughly appetizing sight when imported into a translation environment:


There are so many issues in that tossed salad of translation terror that I don't even know where to start describing them.

I do have the latest version of SDL Trados Studio 2014, but unfortunately it's on a system that does not yet Microsoft Office, because I refuse to bow to Microsoft's insistence that I must buy a Portuguese version of that software. No MS Office, no file import in this case with SDL Trados Studio. memoQ fortunately has not needed MS Office to import its old file formats since the release of memoQ 6.0.

Ugly OCR trash like this file is all too common at this time of year, and as I am busy compiling the syllabus for the workshop I want to do on better living with well-used technology for legal and financial translators, I felt obliged to take this one on as a teaching example. It's actually not as bad as it looks. On the other hand, the best approach may not always be obvious, and the best solution for one document may not apply as well or at all to another.

My first approach was to use Dave Turner's CodeZapper macros. This isn't as straightforward as it used to be since I downgraded from Microsoft Office 2003 to later versions; for some reason the toolbar refuses to stay loaded between work sessions, and there's no way I can keep track of all the abbreviations for macros on it.


I can't deal with anything more complicated than clicking the "CZL" option for "Code Zapper lite", which did a rather decent job on the heavy mess above:


But all was not quite as well as it seemed:


Text in the header and footer remained trashed, and the heavy use of comments and tabbed lists meant that there were plenty of legitimate tags to deal with which were just too confusing with the DVX-like mess of memoQ's default import and display for an RTF file.

So I went for a kinder, gentler approach. I changed my import filter settings in memoQ:


There is actually seldom any good reason to import an RTF or DOC file into memoQ using the default filter settings. And marking those two little checkboxes at the bottom often accomplishes much of what CodeZapper does. Sometimes less. A bit more in this case.


The header and footer texts were absolutely clean. Don't let the extra tags in this sample fool you: overall, there were fewer than in the code-zapped file. Now there are still a number of issues to be seen in the screenshot above, including paragraph breaks in the middle of a sentence and awful manual hyphenation (many instances of that in the whole text) and joys like badly placed comments and links which mess up the text and prevent term identification by the software:

After a bit of repair like this in the memoQ environment (where it is really much, much easier to fix the problems of bad comment and link placement), I copied the entire source text to the target to enable me to export a cleaner source text file. I then opened this file in Microsoft Word and used various search and replace operations to fix the bad hyphenation and other problems like excess spaces. Replacing the hyphens had to be done occurrence-by-occurrence, because the style of writing in German meant that there were many legitimate instances of hyphens followed by spaces.

After all was done, the "before and after" looked like this:

The remaining tags were all legitimate formatting tags for comments, hyperlinks, tabs after section numbering, etc. These do, of course, require attention and add complexity to the work still, so they must be included in the charges for the job. memoQ makes this calculation particularly simple by allowing weighting factors to be specified in the analysis. These are the settings I typically use for a German source text:


I find this usually represents a fair minimum for the additional effort in translation and quality assurance that tags require. In this case, of course, time charges for the cleanup apply, but as you can probably guess from comparing the two analysis tables above, the customer is actually saving a lot of money by paying me to clean up the mess, and the results will be a lot more usable. My cleaned-up version of the source text will also be returned in case the authors intend to make more revisions in the source - this will save more time and money by avoiding redundant cleanup in that case.

Practical webinar on handling PDF files - December 12th

The agency GxP Language Services, which specializes in projects related to the healthcare sector, is planning a webinar on December 12th, 2012 on converting PDF files to formats which are appropriate for translation or other use. The session will be taught by Siegfried Armbruster, the company's managing director and a frequent contributor on various online fora. I have no affiliation with GxP nor do I know the presenter except through his online contributions on technical and/or professional issues, which have generally made an impression of seriousness. I am announcing this particular event, because it is a topic that is relevant to a great number of people involved with translation processes, and too few really understand these issues well enough to work effectively with all types of PDF documents. Educating colleagues and clients on the sort of thing Siegfried will be teaching has been a personal crusade of mine since long before Peter Linton and I presented best practices at a Berlin conference in 2006. There are many different challenges in working with PDF files, and, as my past translation support of a leading PDF advocacy alliance has taught me, new types of PDF make "best practice" very much a moving target in some cases. Thus I welcome learning opportunities such as this and hope to see more in the future from professional organizations and colleagues as well.

I have no idea if he'll discussion the business aspects of correct PDF handling as I sometimes do, but before you can even think of improving your image and bottom line by the way you handle an order with PDF files you have to get the technical aspects right. With a comprehensive set of sample files provided to course participants, which they can use later to practice what they learn, it looks like this session might be a good first step for many people.

Put OCR in Your Business Model

This article originally appeared on an online translators portal four years ago and was long overdue for removal there. Here is an update.

Optical character recognition (OCR) software is discussed often online and at translators' events, usually in the context of how to deal with PDF files. Hector Calabia, Peter Linton and others have made a useful technical contributions on this subject in articles and forums and at various conferences. However, it is useful to consider OCR software in a broader translation business context. Document conversion is often very useful for translation purposes and greatly facilitates automated quality checks of the draft, for example, but OCR can also generate additional income for your business and reduce quotation risk.
OCR for translation
There are a number of programs available for this purpose, and which one is best for your purposes may depend on the language combinations you deal with and other factors. For years now I have used Abbyy FineReader, because years ago it gave the best test results for the particular set of European languages one of our clients offered. It is also relatively inexpensive (I paid about 100 euros for FineReader 11) and easy to use.

Many OCR conversions of TIFF, JPEG and PDF documents which I receive from agencies are difficult to use for translation purposes and require significant modification - if they can be used at all. Particularly in cases where TM tools are to be used or target texts differ significantly in length (especially when they are longer) there may be problems. The best ways to avoid these problems are
  • avoid automatic settings for OCR conversions; use zone definitions instead
  • avoid saving the converted texts with full formatting in most cases
  • use a suitable post-OCR workflow to clean up the converted document by joining broken sentences, removing superfluous characters, fixing conversion errors, etc.
If the idea of doing individual zone definitions on each page of a 100 page document is intimidating, take heart. Programs such as Abbyy FineReader often allow you to define layout templates, speeding up the work considerably. One translator I know became so skilled at the use of these OCR templates and was so good with his conversions that agencies hire him just to do high-quality OCR work for them. Which brings me to….

OCR as an income-generating activity for the translator or agency
Hardcopy, scanned documents, faxes and PDF documents generally require more work for translators than electronically editable documents and require different, sometimes more fallible quality control measures than a typical workflow for a translator using original electronic documents in a translation memory system. If no conversion is performed, it is more time-consuming to check terminology or use concordances during the translation, and it is also unfortunately too easy for eyes to skip over bits of text. Under time pressure this can lead to very serious problems. Even with conversion, the OCR text requires careful checking against the original document to identify and correct any errors introduced (and there will be some at times with even the best OCR software). So it is not at all unreasonable for a translator to charge a higher rate for dealing with hardcopy, scanned documents, faxes and PDF documents.

There are a number of ways to incorporate these higher charges into your business model. The two obvious ways are a premium (surcharged) word/line/page rate and hourly service charges. I usually offer both options to my clients, with the word/line rate surcharge representing the “fixed” rate and the hourly rate the “flexible” rate where I make an non-binding estimate and they may end up paying more or less according to the actual effort. For pure OCR conversion jobs where I am not doing the translating, I charge a typical proofreading rate or a bit more, because I go through the entire document and see that it is correctly formatted for translation work and that obvious errors are fixed (i.e. basic spellcheck, etc.).

Sometimes I hear that “the client doesn’t want to pay for that”. Well, that’s OK, too. The client has the option of doing the work and doing it right and saving me the effort. The recognition that there is additional effort involved and that this effort should be compensated is important. But usually there is a way to sugar-coat the "bitter" cost pill, and this is where your marketing savvy comes into play. Some win-win arguments you might present include:
  • the availability of an editable source text the client can use for future versions;
  • the ability to create TM resources using the OCR text (which can save time/money later);
  • potentially better quality assurance, especially with tight deadlines. 
Returning a clean, nicely formatted OCR of the source document is often good "advertising". End clients may appreciate how this saves time and allows them to use the original text in a variety of ways (attorneys may like to quote arguments from the opposing side, and copy/paste beats retyping). Discriminating agencies may recognize your skill at creating documents that don’t go crazy when edited (because of screwy text boxes, bad font definitions and other format errors) and offer you more work. If your language pair is in low demand or is very competitive, this may be one more way of distinguishing yourself from the pack.
I got started doing OCR work and charging for it after suffering through the conversion of several long PDF documents by more manual methods. I finally wised up, bought FineReader and started to use it with most of the hardcopy, scanned documents, faxes and PDF documents I received simply because it enabled me to use my TM tools and do better quality checks. I started sending the cleaner-looking source texts converted with OCR along with the target text translations, and soon I started getting requests for paid OCR work. A number of my agency clients then began to buy OCR tols and use them with varying degrees of success. Even if they do all the conversion work, I still win if they do it right, because I save time for what I enjoy more – the translation.

OCR as tool for quotation
Some people I know still haven’t learned to do a high-quality OCR (or they don’t care to), but they still use the software effectively in a very important area of their business: quotation and risk limitation.

There are lots of good tools out there for text counting, which is important to many methods of costing and time planning in the translation business. Some people even still do it manually, which, though time consuming, is not a bad way of checking the numbers from an electronic estimate. A number of factors can result in text counts being too low – embedded objects, such Excel tables or PowerPoint slides in a Microsoft Word documents, or graphics with text - or even too high (as is the case with at least one CAT tool counting RTF and MS Word files). Keep using whichever method you prefer - I won't try to persuade you that any one approach is best. I use a number of methods myself.

When translating larger documents, however, or documents with a complex structure, it is often useful to have a “sanity check” for your text counts. On a number of occasions I have received translation jobs from agency clients where the text count was given a X words, where in fact there were quite a few more words embedded in Excel objects, bitmap graphics, Visio charts, etc. which had not been measured by the method used. In a few cases these clients had to take a loss on the job after giving a fixed price bid to the end client. Using OCR to check your estimates can prevent such an unfortunate scenario.

To do this, print the document (whatever it is) to a PDF file. Then run the PDF file through an OCR program with automatic settings (to save time – you don’t need to translate this OCR). Save the text and count it. There will probably be a bit more text due to headers or footers or perhaps garbage from graphics, but the results should be close to your other estimate. (You can always subtract an appropriate factor for the text count in headers and footers to improve your OCR estimate.) If there is a major deviation, this is a clear sign that you should take a much closer look at the document(s) before quoting the job.

Searchable scanned documents
Another use I have found for OCR in recent years is creating searchable "text-on-image" documents from scanned PDFs, TIFF files and other bitmap formats. Although I have used these searchable PDFs mostly for reference while I work (searching for bits of text while viewing the original, unadulterated context) and supplied them to clients on only a few occasions, the potential for an additional value-added service is fairly obvious in this case.

Conclusion
OCR software is an essential tool for the work of many translators today, even more so than CAT software in many cases. Not just a tool for recovering “lost” electronic documents or making legacy typed material more accessible for translation work, it also offers possibilities for generating additional projects and income, differentiating one’s services and reducing risks when quoting large jobs. Key features of whatever OCR you choose should include the ability to select text areas for conversion and to determine their sequence in the converted text (using user-defined zones). Various options for saving the converted text (full page format, limited text formatting and no formatting) are also very helpful. Most important of all, though, is a good quality-checking workflow for your OCR documents (possibly including formatting) to avoid difficulties in the translation process and ensure that your work has a polished, professional appearance.

OCR software is another good tool for improving your visibility with clients and making your work processes easier in an age when many archiving and ERP systems are focused on the retention of PDF documents or TIFFs and even actively discourage saving original formats. The major providers of this software often have free, functional demonstration versions to use before making a purchase decision. Try several options and choose the best one for you. You won’t be sorry.

memoQuickie: using the memoQ PDF filter

The memoQ PDF filter is limited: it only works with PDF from editable text, only extracts plain text, and may have problems with complex layouts (such as multiple columns). A PDF with complex or scanned content requires tools such as OCR software (OmniPage, ABBYY FineReader, etc.) to create a source file in RTF, DOC or other formats.

To translate a PDF with the memoQ filter, add it in the Project Wizard or via Project home > Translations > Add document. There are no configurable options.

 
Even simple files may have format problems.



Examine the extracted text carefully, compare to the original and ensure that segmentation and word order are correct. If not, editing may be required after translation. Note how the ingredients list in Segment 3 is run together.

The target file exported after translation will be plain text. If formatting is needed, it must be applied with other software.

Another approach to OCR for translation

OCR is often a touchy subject for translators. There is unfortunately too little expertise in this area, though the practice of converting scanned text for translation is now quite common. And recent developments in tools such as ABBYY FineReader have catered to the worst of the idiocy I have seen, starting processes automatically which are best executed manually with greater care.

Too many people rely on automatic settings for OCR conversion and save the result in a format (usually an MS Word or RTF file) which more or less preserves the look of the original. The result may look pretty to the ignorant eye, but when the translator begins work, a host of problems may arise. In CAT tools, there are usually innumerable superfluous tags (which sometimes even CodeZapper cannot clean up), even embedded in the middle of words, which prevents matching with TM and glossary entries. Kiss consistency and quality control features goodbye in such cases. In older versions of Trados, font changes and other format trashing are common. Disappearing text in ill-defined text boxes and column is often a problem, even for those who do not use translation environment tools.

For these reasons and others, I have long been an advocate of manual zone definition and (where necessary) the use of templates to achieve the best conversion results, and I usually save the results as naked text or, at most, preserving some font formatting (in which case further adjustments by mass selection are usually necessary to ensure that body text is, for example, consistently 10 point and not 9 point or 10.5 point in some spots due to image distortions).

If the result of a translation will be given to a graphic artist for subsequent layout, you do in fact perform a good deed by avoiding the "save with layout" options for your OCR text. A document with a straight text flow is much easier to import into the layout environment (such as InDesign). Of course, where such things are to be done, it is often best to try to get the content in that environment's format in the first place, though in such cases, certain clean-up (of hyphenation, kerning and column breaks, for example) is necessary to avoid problems and tag checks are essential after translation.

However, when you work with OCR texts, no matter how they are created for translation, some errors are almost inevitable. When the OCR engine has a spellchecker and "intelligent" correction features, some of these errors may even be plausible, just wrong, so beware! It is vital to have a copy of the original scanned document as a printout or perhaps on a second working screen for reference. I have followed this approach for years. But when I have a good conversion, I might translate happily for a number of pages before encountering a whiskey tango foxtrot moment in which I must consult the original to see what the text really says. This is a real problem for me in a multi-column patent with small type, and I often spent quite a bit of time looking in the scanned PDF for the relevant passage.

That was the case at least until one day, the light went on, and I realized that making a searchable PDF from the original scan could enable me to find the relevant text faster. If this searchable PDF is made from the same OCR process used to create the text to translate, then any errors will be the same, and by putting in the questionable text, you can go precisely to the right place in the document! My original post on this subject on another blog was primarily about making searchable PDFs for reference documents (to find terms and usage easily in documents not intended for translation), but I actually use this error-finding technique more often in my work lately.

Presegmented "classic" Trados files

Given that many outsourcing translators, agencies and companies still use older versions of Trados but often want to work with qualified translators without tripping over tool issues, this is still a current topic despite the new SDL Trados tools having been on the market for several years. And my old published procedures on these matters are either no longer publicly available or are somewhat in need of updating.

Before I began blogging in 2008, I wrote a number of procedures to help my partner, colleagues and clients understand the best procedures for handling "Trados jobs" with other translation environment tools. When translating a TTX file with Déjà Vu, memoQ and many other applications, it is often best practice to "presegment" the file using a demo or licensed version of Trados 2007 or earlier. In fact, if this is done on the client's system, many little quirks of incompatibility that can be experienced if the translator used a different build of Trados (for example) can be avoided.

What does "presegment" actually mean? It is a particular method of pretranslation in which for segments where the translation memory offers no match, the source text is copied to the target segment. If performed with an empty TM, the target segments are initially identical to the source segments. If this procedure is followed, full, reliable compatibility is achieved between applications such as Déjà Vu and memoQ for clients using Trados versions predating Trados Studio 2009. For newer versions of Trados, the best procedure involves working with the SDLXLIFF files from Studio. If a freelance translator does not own a copy of SDL Trados 2007 or an earlier version used by an agency or direct client, this is the procedure to share with a request for presegmentation. While some clients might expect the translator to do such work using his or her own copy of Trados, I have experienced enough trouble with complex files over the years when different builds of the same version of Trados are used that I consider this to be the safest procedure to follow - safer even than having the translator do the work in Trados in many cases.

Step 1: Prepare the source files
Before creating a TTX file and presegmenting it for translation in DVX or creating a presegmented RTF, DOC or DOCX file compatible with the Trados Workbench or Wordfast Classic macros in Microsoft Word, it is a very good idea to take a look at the file and clean up any "garbage" such as optional hyphens, unwanted carriage returns or breaks, inappropriate tabbing in the middle of sentences, etc. Also, if the file has been produced by incompetent OCR processes, there may be a host of subtle font changes or spacing between letters, etc. that will create a horrible mess of tags when you try to work with most translation environment tools. Dave Turner's CodeZapper macros are a big help in such cases, and other techniques may include copying and pasting to and from WordPad or even converting to naked text in Notepad and reapplying any desired formatting. This will ensure that your work will not be burdened by superfluous tags and that the uncleaned file after the translation will have good quality segmentation.

Step 2: Segment the source files
If the source files are of types which Trados handles only via the TagEditor interface, then they may be pretranslated directly by Trados Workbench to produce presegmented TTX files. If they are RTF or Microsoft Word files, on the other hand, and a TTX file is desired, you must first launch TagEditor, open the files in that environment and then save them to create the TTX files, which are then subsequently pre-translated using Trados Workbench. If a presegmented RTF or Microsoft Word file is desired (for subsequent review using the word processor, for example), then the files can be processed directly with Trados Workbench.

Important Trados settings:
  • In Trados Workbench, select the menu option Options > Translation Memory Options… and make sure that the checkbox option Copy source on no match is marked. 

  • In the dialog for the menu option Tools > Translate, mark the options to Segment unknown sentences and Update document.

After the settings for Trados Workbench are configured correctly, select the files you wish to translate in the dialog for the Workbench menu option Tools > Translate and pretranslate them by clicking the Translate button. This will create the "presegmented" files for import into DVX, memoQ, etc. If the job involves a lot of terminology in a MultiTerm database, which cannot be made available for the translation in the other environment (perhaps due to password protection or no suitable MultiTerm installation on the other computer), you might want to consider selecting the Workbench option to insert the terms.

Note: to get a full source-to target copy, use an empty Trados Workbench TM. However, if an original customer TM is used for this step you will often get better "leverage" (higher match rates) than if you work only with a TMX export of the TM to the other environment. If I am supplied with a TWB TM, I usually presegment with it first, then export it to TMX and bring it into memoQ or DVX for concordancing purposes. However, in some cases, such as with the use of memoQ's "TM-driven segmentation", you might get better matches in the other environment (not Trados).

The one performing the presegmentation might want to inspect the segmented files in TagEditor or MS Word to ensure that the segmentation does not require adjustment. Segments can typically be joined in other environments such as memoQ in order to have sensible TM entries in that environment or deal with structural issues in the language, but this will not avoid useless segments in the content for Trados. The best way to deal with that is by fixing segments there. Otherwise, I often provide a TMX export from memoQ to improve the quality of the Trados TM.

Step 3: Import the segmented source files into the other environment
The procedure for this varies depending on your translation environment tool. Usually the file type will be recognized and the appropriate filter offered. In some cases, the correct filter type must be specified (such as in memoQ, where a presegmented bilingual RTF/DOC must be imported using the "Add document as..." function and specifying "Bilingual DOC/RTF filter" instead of the default "Microsoft Word filter".

Some tools, like memoQ, offer the possibility of importing content which Trados ignores, such as numbers and dates, This is extremely useful when number and date formats differ between the languages involved. It saves tedious post-editing in Word or TagEditor and also enables a correct word count to be made.

A few words about output from the other (non-Trados) environment
If you import a TTX to Déjà Vu, memoQ, etc., what you will get when you export the result is a translated TTX file, which must then be cleaned using Trados under the usual conditions. Exporting a presegmented RTF or Microsoft Word file from DVX gives you the translated, presegmented file. The ordinary export from memoQ will clean that file and give you a deliverable target file. To get the bilingual format for review, etc. you will have to use the option to export a bilingual file.

Other environments such as memoQ or Déjà Vu may also offer useful features like the export of bilingual, commented tables for feedback. This saves time in communicating issues such as source file problems, terminology questions, etc. and is infinitely superior to the awful Excel feedback sheets that some translation agencies try to impose on their partners.

Editing translations performed with Trados
A translation performed using the Trados Workbench macros in Microsoft Word or using TagEditor can be easily reviewed in many other environments such as Déjà Vu or memoQ. In fact, I find that the QA tools and general working environment with this approach is far superior to working in TagEditor or Word, for example. Tag checks can be performed easily, compliance with standard terminology can be verified, content can be filtered for more efficient updates and more.

Editing translations performed with more recent versions of Trados (SDL Trados Studio 2009 and 2011) is also straightforward, as these SDLXLIFF files are XLIFF files which can be reviewed in any XLIFF-compatible tool.
